Meetings often contain sensitive information. This policy explains in plain language what MEETO AI collects, how it's used, and how you stay in control of it.
01Who we are
MEETO AI (“we”, “us”) provides the MEETO AI website and service (the “Service”). This policy explains what personal information we process when you use the Service, why we process it, and the choices you have.
When a business uses MEETO AI to record its meetings, that business decides which meetings are recorded and how the notes are used. For that meeting content we act as a processor (or service provider) on the customer's behalf. For account, billing and website data we act as a controller.
02Information we collect
Account information
When you sign in with Google we receive your name, email address, profile picture and calendar time zone. We store Google OAuth tokens so the Service can keep reading your calendar between visits.
Calendar data
For events in your primary Google Calendar over the next seven days we read the event title, start and end time, video-conference link, and attendee names, email addresses and response status. We use these to find meetings to record and to match action items to the right people.
Meeting content
- Audio recordings of meetings our notetaker joins, native Google Meet recordings you have made, and files you upload.
- Transcripts, speaker names from the meeting's active-speaker timeline, and the summaries, decisions, action items, owners and due dates generated from them.
Integration data
If you connect Notion or Slack we store the access token they issue, your workspace name, and the Notion page or Slack channel you choose for delivery. To @-mention action-item owners in Slack, we look up attendee email addresses in your Slack workspace.
Billing information
Payments are handled by Stripe. We store your Stripe customer ID, plan, subscription status and renewal date. We never see or store full card numbers.
Sales enquiries
If you contact sales we collect your name, work email, company, team size and your message.
Technical data
We set one essential, HTTP-only cookie to keep you signed in. Our hosting infrastructure may log IP addresses and request metadata for security and reliability. We use StatCounter and Microsoft Clarity to measure site traffic and understand how visitors use our pages (see Cookies).
03How we use information
- To provide the Service: syncing your calendar, sending the notetaker, transcribing recordings, extracting notes and delivering them to Notion and Slack.
- To manage your account, subscription and usage limits.
- To secure the Service, prevent abuse and debug problems.
- To respond to support and sales requests.
- To meet legal obligations.
We do not sell personal information, use meeting content for advertising, or use your meeting content to train AI models.
04Google user data
MEETO AI's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We request read-only scopes for calendar events, Google Meet conference records and Meet-created Drive files. We use this data only to provide the features described above. We don't transfer it to others except the service providers listed below that operate the Service, and we don't use it for advertising.
05AI processing
Audio is sent to OpenAI's Whisper API for transcription, and transcripts are sent to Anthropic's Claude API to generate summaries, decisions and action items. Both are used through their business APIs, and under their terms customer API data isn't used to train their models by default.
AI-generated notes can contain mistakes. Check important decisions and commitments against the transcript, which is kept next to the notes for that purpose.
06Meeting participants
The notetaker joins meetings under a visible display name, so participants can see that the meeting is being recorded. Customers are responsible for telling participants about recording and getting any consent that applicable law requires.
If you took part in a meeting recorded by one of our customers and want to exercise your privacy rights, please contact that customer directly. We'll help them respond to your request.
08Retention and deletion
- Meeting content is kept until you delete it. Deleting a meeting removes its transcript, generated notes, decisions and action items.
- Recordings are only needed until the transcript is created. Customers can purge them right afterwards.
- Notes already delivered to Notion or Slack are controlled by those services and your workspace settings.
- Account data is kept while your account is active. You can ask us to delete your account at any time.
- Billing records are kept as long as tax and accounting laws require.
09Security
We use least-privilege OAuth scopes, encrypt all traffic to our providers with TLS, verify the signatures of incoming webhooks, and use signed, HTTP-only session cookies. No method of transmission or storage is completely secure. See our security overview for details.
10Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you and get a copy of it
- Correct inaccurate information
- Delete your information
- Object to or restrict certain processing
- Withdraw consent, for example by disconnecting an integration
- Complain to your local data protection authority
To exercise these rights, email admin@meeto.ai. We'll respond within the time the law requires. You can revoke MEETO AI's Google access at any time from your Google Account permissions page.
11International transfers
Our service providers may process data in countries other than yours, including the United States. Where the law requires it, we rely on appropriate safeguards such as Standard Contractual Clauses for these transfers.
13Children
The Service is meant for businesses and isn't directed at children under 16. We don't knowingly collect their personal information.
14Changes to this policy
We may update this policy from time to time. If we make material changes, we'll notify account holders by email or in the Service before they take effect. The date at the top shows when it was last revised.
